100 GB of chaos – critical documents nowhere to be found
HanseMerkur Grundvermögen is among the digital frontrunners in German asset management. The company relies on modern IT systems and a clear infrastructure. Yet during a property handover, the team faced an extraordinary challenge: roughly 100 GB of unstructured real estate documents from a property manager.
Nested folders. Cryptic file names. Files that could no longer be reached because of their folder depth. The new property manager would barely have been able to do their job – essential documents such as leases, security deposit agreements, or handover records were simply impossible to locate.
HMG defined two clear objectives:
- Fully enrich all documents relevant to the tenant file and file them correctly in the target system.
- Prepare the entire remaining inventory so that it can be processed efficiently in asset management.
Given the enormous volume and the unstructured starting point, it quickly became clear: a manual review was out of the question.
The Selection Process
A solution that strengthens rather than replaces
HMG was looking for a solution that could reliably and automatically analyze, classify, and prepare large volumes of documents. At the same time, it had to fit seamlessly into the existing system landscape – without creating new manual processes or replacing established structures.

- Automatic classification: Documents were assigned to their respective properties and people
- Intelligent enrichment: Missing information was added based on context
- Import-ready preparation: For every document, an import instruction was generated automatically – ready for direct transfer into the target systems
HMG developed the final workflow on the basis of the data structures delivered by docuspine. All remaining documents were structured and prepared for later processing in asset management.
